Administrative Assistant – Financial Services

At Bridgepoint Wealth Strategies, we successfully guide our clients through some of the important times in their lives.  To meet that privilege and responsibility, our firm is looking for a driven, organized, multi-talented, positive individual to take charge of many of our daily office operations, marketing planning, and client relations responsibilities.  Ideally, our successful candidate will work between 25-28 hours per week, and we’d like them to be present in the office each day (Monday through Friday), but other than that we welcome a flexible schedule.  We would prefer candidates with solid Administrative Assistant experience, preferably within the financial services or insurance industries, but we’re also open to curious, fast-learning individuals who are infinitely organized and on top of their responsibilities – this position is highly valued and important team member within our office.

 

Responsibilities include:

Office Operations:                          

  • Creation of external communications and managing the paperwork processes of our office
  • Maintaining various databases including our CRM and Excel data
  • Maintaining our calendars
  • Managing relationships with vendors
  • Managing our supplies, marketing materials, and anything else that keeps us organized and on task

 

Client Relations:

  • Communicating with our clients to schedule appointments via phone or email, and managing incoming calls
  • Preparing for client meetings by preparing account summaries and reports
  • Assisting in problem solving with client needs as they arise

 

Marketing

  • Organizing and assisting in preparation and planning of client events
  • Assisting with execution of email marketing campaigns and managing website where appropriate

 

Our ideal candidate should:

  • Be an incredibly organized individual
  • Ideally have previous administrative assistant experience, preferably in the financial services or insurance industries
  • Possess incredible communication skills, both verbal and written
  • Exhibit really strong computer skills, especially in Microsoft Office, but show an aptitude for quickly picking up other software programs
  • Have a very strong attention to detail and formidable accuracy – math and problem solving skills are a must
  • Exhibit a high level of professionalism, and a strong ethic towards confidentiality
